Returns, Refunds & Complaints Policy

Effective Date: June 1, 2025 | Applies to: rinagym.com

This policy complies with applicable U.S. federal (FTC) and state consumer protection laws,

including California, New York, Texas, Florida, and all other U.S. states.

At Rinagym, we are committed to providing high-quality fitness equipment and excellent customer service. Please read this policy carefully before placing an order, as it constitutes part of our Terms of Sale. By completing a purchase on rinagym.com, you agree to the terms set forth below.


1. How to Request a Return

You must contact us within 30 days from the date of delivery to initiate a return. This deadline applies to all return types, including damaged, defective, or incorrect items.

Your email must include the following:

  • Full name and order number

  • Product name and description

  • Reason for return

  • Photos or video evidence (required for damaged, defective, or incorrect items)


Important: Do not ship any item back before receiving written authorization from Rinagym.

Unauthorized returns may be refused at the carrier and returned to the sender at the customer's expense.


2. Return Merchandise Authorization (RMA)

All returns require prior written approval. Once your request is reviewed and approved, we will issue a Return Merchandise Authorization (RMA) number along with detailed return instructions.


  • The RMA number must be clearly written on the outside of the return package.

  • Packages sent without a valid RMA number may be refused upon delivery.

  • The RMA does not guarantee a refund; the returned item will be inspected upon receipt.

  • RMA authorizations are valid for 14 days from the date of issuance. If the item is not shipped within this window, a new request must be submitted.


3. Approved Return Address

All authorized returns must be shipped to the following address:

📌 Returns sent to any address other than the one listed above, without prior written approval,

will not be accepted and may not be eligible for a refund.


4. Change-of-Mind Returns (No Defect)

If you wish to return a product for a reason unrelated to a defect, damage, or incorrect shipment (e.g., you changed your mind or no longer need the item), the following conditions must ALL be met:


  • The item must be unused and uninstalled

  • The item must be in its original, unaltered condition

  • The item must be in its original packaging with all seals and labels intact

  • All accessories, hardware, instructions, and components must be included


Cost of Return Shipping:

Return shipping costs are the sole responsibility of the customer.


Original Shipping Costs:

Original shipping charges are non-refundable. If your order qualified for free shipping, the actual shipping cost incurred by Rinagym (approximately $100 USD) will be deducted from your refund.


Disclosure (FTC Compliance): By placing an order with free shipping, you acknowledge that

if you return the item for a non-defect reason, approximately $100 will be deducted

from your refund to cover the original outbound shipping cost.


5. Custom, Personalized & Special Orders

The following product types are non-returnable and non-refundable, as they are made specifically for you:

  • Custom-made or made-to-order products

  • Personalized products with custom specifications (color, size, engraving, etc.)

  • Products assembled to customer-specified requirements


Exceptions — Custom orders may be eligible for return or replacement ONLY if:

  • A confirmed manufacturing defect is present

  • The item was damaged during shipping

  • An incorrect item was delivered (different from what was ordered)


In all exceptional cases, photo or video documentation is required and must be submitted within 30 days of delivery.


6. Damaged, Defective, or Incorrect Items

If your order arrives damaged, defective, or does not match what you ordered, you must notify us within 30 days of delivery.


Documentation Required:

  • Clear photos showing the damage, defect, or incorrect item

  • Video documentation if the item does not function as intended

  • Photos of the original packaging, including the shipping label


After reviewing your claim, Rinagym will offer one of the following resolutions at our discretion, depending on the nature and severity of the issue:

📌 If the issue can reasonably be resolved by shipping replacement parts, Rinagym reserves

the right to provide that solution before issuing a refund. If the replacement parts

fail to resolve the issue, we will escalate to a full replacement or refund.


7. Refund Processing & Timeline

Once we receive and inspect the returned item, we will notify you of the approval or rejection of your refund within 5 business days of receipt.


If approved:

  • Refunds will be issued to the original payment method within 7 business days of approval.

  • Your financial institution (bank or credit card company) may require an additional 3–10 business days to process and post the refund. This is outside of Rinagym's control.

  • You will receive a confirmation email when the refund has been initiated on our end.


Total Maximum Timeline:

In most cases, you can expect to see the refund reflected in your account within 30 days of us receiving your returned item. This timeline satisfies the requirements of all U.S. states, including California (Cal. Civ. Code § 1723) and other states with statutory refund timelines.


If you do not receive your refund within 30 days of confirmed return receipt,

please contact us at rinagym.com@gmail.com before filing a dispute with your bank.


8. Payment Disputes & Chargebacks

We strongly encourage customers to contact us directly before initiating a chargeback or payment dispute with their bank or credit card company. Most issues can be resolved faster through our customer service process.


By submitting a purchase on rinagym.com, you agree to contact Rinagym first and allow us a reasonable opportunity to resolve your concern before filing a dispute.


Important Notice Regarding Chargebacks:

  • Filing a chargeback without first contacting Rinagym is a breach of our terms of sale.

  • If a chargeback is filed for a transaction that was valid and fulfilled, Rinagym will provide all order documentation, communications, and delivery confirmation to the payment processor as evidence.

  • Fraudulent chargebacks may result in your account being flagged and future orders being refused.


Nothing in this section limits your rights under applicable U.S. consumer protection laws, including the Fair Credit Billing Act (FCBA) or applicable state law.


9. Incorrect Address, Refused Delivery & Unclaimed Packages

Customers are solely responsible for providing accurate and complete shipping information at the time of purchase, and for accepting delivery within the carrier's scheduled timeframe.


The following situations may result in partial or no refund:

  • Shipment returned due to an incorrect or incomplete address provided by the customer

  • Delivery refused by the customer without a valid reason

  • Package unclaimed or not picked up within the carrier's holding period

  • Failed delivery due to missed appointments or inaccessible location


In any of the above scenarios, any refund issued will be reduced by all actual costs incurred, including but not limited to:

  • Original outbound shipping cost (approx. $100 USD)

  • Return shipping cost from the destination country

  • Handling and storage fees charged by the carrier or warehouse

  • Customs or brokerage charges, if applicable

  • Any other documented costs directly related to the failed delivery


After all applicable deductions, if the remaining refund amount is zero or negative, no refund will be issued. Rinagym will not pursue the customer for negative balances arising from these deductions.


10. Customs Duties & Import Taxes (International Orders)

For orders shipped to addresses outside of Poland (including the United States), import duties, customs fees, taxes, and related government charges may apply depending on the destination country and applicable trade regulations.


U.S. Customers — De Minimis Threshold:

Orders shipped to the United States with a declared value under $800 USD are typically exempt from import duties under the U.S. de minimis threshold (19 U.S.C. § 1321). Rinagym will declare accurate customs values as required by law.


For orders exceeding the de minimis threshold:

  • Any applicable duties, taxes, or brokerage fees are the responsibility of the customer.

  • Refusal to pay such charges does not constitute a company error and does not entitle the customer to a refund.

  • If a package is returned to us due to unpaid duties, the provisions of Section 9 (Unclaimed/Refused Packages) will apply.


11. Rinagym's Right to Decline or Reduce a Refund

Rinagym reserves the right to refuse a return or reduce the refund amount in the following circumstances:

  • The product shows visible signs of use, installation, or assembly

  • The product has been altered, modified, or damaged after delivery

  • The product is returned incomplete (missing parts, accessories, or hardware)

  • The original packaging is absent or has been significantly damaged

  • The return was not pre-authorized with a valid RMA number

  • The product is a custom, personalized, or special-order item (see Section 5)

  • The return request was submitted after the 30-day window from delivery


📌 California Residents (Cal. Civ. Code § 1793 et seq.): Your statutory warranty rights under

California law are not waived by this policy. If a product is found to have a manufacturing

defect, you retain all rights provided by California's implied warranty of merchantability,

regardless of the above conditions.

If any provision of this policy conflicts with applicable federal or state law, the applicable law shall govern to the extent of the conflict, and the remaining provisions of this policy remain in full effect.


13. Limitation of Liability

To the maximum extent permitted by applicable law, Rinagym's liability is limited to the purchase price of the product. Rinagym is not liable for indirect, incidental, consequential, or punitive damages arising from the purchase or use of any product.


This limitation does not apply to claims arising from personal injury caused by a defective product, fraud, or any claim that cannot be legally limited under applicable law.


14. Policy Updates

Rinagym reserves the right to update or modify this policy at any time. Changes will be posted on our website at rinagym.com with an updated effective date. Continued use of our website after any such changes constitutes acceptance of the updated policy.


For orders placed prior to a policy change, the policy in effect at the time of purchase will apply.
